Audience Ops creates two general types of case studies: Written and video.

Written:

Our typical written case study is narrative: we’re using the information gathered to share the story of your client, placing them and your solution at the center of the piece. Quotes and data (that can be gathered or shared) will be woven in. We can also do a written case study in a more traditional format, such as company overview, challenge, solution, results, company info and CTA.

In the kickoff, you can tell us which type you prefer.

If you need a different format, for example longer, shorter, to match your template, let us and we’ll scope the project based on your needs.

Video:

Our video case studies tend to be 3-4 minutes long, with music, title screen, slide ins for names or summaries, quote images and screen capture of your tool and branded or stock video and images.. Our video production team will look for ways to highlight your product or service within the final video.

Case studies are fantastic social proof about your product, service or company. They allow prospective customers to see and hear a real person’s own words about their experience with you.

Trust is earned and recommendations from people carry weight in building trust.

Completed case studies can be used in both your sales and marketing efforts, for example:

  • Share on social media (organic or paid)
  • Highlight case studies on a pricing page
  • Share with your sales team to include in their emails to prospective clients

As part of our process, we do a kick off call with you to learn about your goals for the case study and get some background info on the person/people we’ll be talking to. You also get to review the questions we’ll use as starting points.

Nope. We lean into getting these done efficiently and authentically. We use Zoom (which, thanks to that pandemic, pretty much everyone is comfortable with). We’ll coach them to have an ideal audio, video, and visual setup so that we get solid results for our video production team to work with.

Process is our thing here at Audience Ops. Once you know who we’ll be talking with and payment is made, here’s what to expect if you’re doing audio and video:

  • Kick off call with your team: We learn about your goals and gather some background info
  • We send you questions for review
  • You introduce us to the client via email
  • We send an email to schedule a call time and send questions so they can prep
  • We record via Zoom
  • Within about a week you’ll get the first rough cut of the video (the best 5-8 minutes)
  • You give us your feedback about anything to keep or cut (you’re likely to know best what will resonate with your prospective clients so we want your input here)
  • At this point, we’ll start working on the written case study, taking into account any feedback from the video that may influence the writing (for example, you may have requested a cut from the video because it can be highlighted in the written content)
  • Based on your feedback of the first rough cut, we get to the final rough cut, which is the 3-4 minutes we suggest end up in the final video. You have a chance to give feedback or request edits here. Once confirmed, this goes for final video production.
  • As we’re working on rough video cuts, we’re gathering production details from you: brand colors, fonts, login for a sample account for screen capture, any screenshots or product images you can share.
  • Once final rough cut is approved by you, in 7-10 business days, you’ll have your final video, generally 4 weeks after recording
  • Edit requests are usually minimal at this point because we’ve kept you in the loop along the way
  • Written case study is typically delivered 3 weeks after recording

Yes, that’s ideal. If you want to chat before deciding to work with us, that’s great. But, we prefer you pay us once you know who you want us to talk to and they’ve already agreed. This way we can get to the final product efficiently.

We will ask for branding info: colors, font, styleguide, along with any existing visual content that you like or don’t like so that we have a solid understanding. Part of you hiring us is trusting our team to learn about your brand (our video producer will do some digging into your existing content) and produce a case study you’ll be proud of.



Great. This gives options to highlight different features or use cases and can lead to an exciting “super cut” (an add on, if you choose), where we highlight several stories in one video.

Usually only about 30 minutes. They may want to prep for 10-15 before the call (especially if they need to gather or review some stats), but we keep the calls to ~30 minutes.

We aim to get your kickoff call done within 3-5 business days of when you sign on.

Ideally, the call with your client happens 5-7 days after that, but sometimes getting your client scheduled can take time. Don’t worry- we’ll do the following up. Once the call has happened, our typical delivery times are about 4 weeks for a video and 3 weeks for the written, assuming you can give us feedback in a timely manner. We’ll keep you updated on timelines as we work together.




We’re going to do basically everything. What we need from you:

  • A kickoff meeting (~30-45 minutes) where we talk case study goals and background info
  • A quick review of the questions we’ll ask
  • An email intro to your client (You will have already asked them if they’ll participate)
  • Review and feedback on video rough cuts and written draft
  • Final review and approval

We don’t ask them to sign anything. As part of asking them to participate, you’ll likely want to share how and where this case study will be used. It’s probably a good idea to mention all the places recorded content could be used so that you don’t run into any issues later, for example: Website, social, paid ads, newsletter, etc.

In addition to the final deliverable that you pay for (written content and/or video), you’ll get:

  • Audio recording of the conversation
  • Video recording of the conversation
  • Transcript (not 100% accurate, but close, and great for finding other quotes or content you might want to use elsewhere).

Written content is delivered via google doc.

Video is .mp4 and will be shared via google folder for you to download.

One round of edits is included and this is typically all we need. Our process is heavy on the up front information so that you get what you expect when we deliver. Specifically, on the written case study: One round of edits once all stakeholders have reviewed and change requests are consolidated, we’ll address to get to the final product. If you need any small adjustments from there, we’ll handle those in one last round.

For the video, the first rough cut (5-8 minutes) and the final rough cut (3-4 minutes) allow you to see the video content that will be included in the final version. The only parts you won’t see are the design aspects but our clients have always been thrilled when they see the final result.

Typical edit requests at this point may be around adjusting the text we’ve chosen for titles, small adjustments to sizing of font or addition of another quote call out. There are rarely big surprises for either side at this stage. Like the written, once all stakeholders have reviewed and consolidated feedback, we’ll make the edits you need. If anything else comes up after that, we may need to scope the edits but if they’re minor, we got you.

This is sort of up to you, but we want to keep your clients happy. If they share something on the call and then say “oh, I shouldn’t have said that” or they review a rough cut and their team comes back and says “we can’t say that,” we defer to them and remove those parts.

You know your clients and their business best so you can tell us at what points you want their approval. Some of our clients just have us send the final versions. Other clients want us to send the first rough cut. In kickoff, we’ll plan where these reviews need to come in.

Possibly. There are times where having more than one person makes sense. For example, you’re a VA company and you want your case study to highlight your client and their VA. That would work for one case study. Or, you want to add in some commentary from someone on your team to share about the project your client is featuring, we can do that too.

If you want to feature people from different companies for different products, let’s talk. We typically start with individual case studies and then edit those into a supercut, but if your goal is to have one video with multiple people highlighted, we’ll talk about how we make that work and the pricing.

Once you have a video or a written case study, we love repurposing those.

Written can be turned into:

  • One-page visual
  • Designed narrative
  • Quote cards
  • Blog posts
  • Carousel images

Video can be turned into:

  • Social clips
  • Audiograms
  • Supercuts (when you have 3-4 individual case studies)
